Bequest Management, Built for Charitable Organizations

Every bequest, tracked from notice to distribution.

TrueBQuest replaces the spreadsheet, the shared drive, and the file cabinet with a single system of record, so your team always knows where a bequest stands, and what revenue to expect.

The Problem

You just learned your organization is named in a will. Now what?

Whether it lands in a spreadsheet, a shared drive, or a paper file, the information about that bequest disperses the moment it arrives, and someone spends months later trying to piece together where things stand, what's owed, and when it's expected to close.

How It Works

One record for the life of the bequest.

From first notice to final distribution, everything about a bequest lives in one place, visible to anyone on your team who needs it.

Watch the 5-minute walkthrough

One dashboard, the whole picture

Projected revenue for the current and every upcoming fiscal year, decedents tracked, bequests tracked, and your largest open bequests, all at a glance.

Drill down in a click, not an afternoon

Click any number on the dashboard to get the underlying list. Reporting for the Board or an auditor takes moments, not hours.

Sortable, searchable decedent records

Every decedent and every bequest tied to them, with columns you can sort (by date of death, amount, or status) to find what you need fast.

Every document, one tab away

Wills, trusts, beneficiary designation forms, and correspondence, all attached to the bequest itself, so nothing gets lost in an inbox or a paper file.

A running log, not a memory test

Every action taken to pursue a bequest is logged with a comment, so anyone can see exactly where things stand, and follow-ups are scheduled automatically so nothing goes overdue unnoticed.

Unlimited users, always

Add your whole planned giving, finance, and advancement team at no extra cost; pricing scales with how many bequests you track each year, not how many people log in.

Inside TrueBQuest

A walk through how it actually works.

Four screens, four jobs: see everything at once, find any decedent, open any bequest, and never lose track of a follow-up.

Step 01: Executive Dashboard

Everything you'd pull for a Board meeting, already assembled.

Projected revenue for this fiscal year and every year ahead, decedent and bequest counts, your highest-dollar open bequests, and cash collected by month, quarter, and fiscal year, updated automatically as records change.

Step 02: Decedent Records

Click a number, get the list. Click a name, get everything.

Every decedent your organization is tracking, sortable by date of death, amount, or status. Each record also carries prior-giving history (whether the decedent was a lifetime donor and what they gave) alongside the bequests themselves. One decedent can hold several: a revocable trust and a retirement account are two separate records, both visible from the same page.

Decedents: Active Status
Bequest table column headers: bequest type, status, decedent, projection amount, cash received, description of bequest, last interaction Bequest table rows showing revocable trust, probate, and insurance bequests with status and amounts
Step 03: Bequest & Documents

Wills, trusts, and correspondence: attached, not scattered.

Open any single bequest and find its projected amount, cash already received, and every relevant document: wills, trusts, beneficiary designation forms, and the letters and emails sent and received, all in one place, organized by tab.

Step 04: Action Log & Follow-Up

A record of every step taken, and a system that won't forget the next one.

Each action to pursue a bequest gets logged as a comment, so anyone can see where things stand at a glance. Schedule a follow-up once, and TrueBQuest surfaces it automatically, flagging it the moment it's overdue.

Comment: Estimated value of estate on Petition for Probate is $2 million. We are a 12% residuary beneficiary, so $240,000. Using $225,000 as projection (to account for debts and expenses of administration).

It's hard to imagine going back to the way we used to organize and store bequest information. The dashboard and search functions are a game changer in how I locate bequest information and keep up to date on hundreds of bequests.

What planned giving teams say after switching.

"It's hard to imagine going back to the way we used to organize and store bequest information. The easy-to-use dashboard and search functions are a game changer in how I locate bequest information and keep up to date on hundreds of bequests."
Julie Carlevaro, Earthjustice, Sr. Planned Gifts Officer, Life Income Giving
"I've been in charitable gift planning since 1998. For more than a quarter of a century, and well over a thousand estates, I've wondered why no one has created a quality resource truly designed for nonprofit estate administrators. Until now, we've had to rely on ill-fitting products adapted from systems built for entirely different purposes, or programs so unintuitive they're painful to navigate. And of course, the elaborate but clumsy spreadsheets.

The long wait is over. I couldn't be more enthusiastic about TrueBQuest, which has clearly been designed from the ground up by people who understand exactly what we do. It's easy to grasp, incredibly powerful, and has exponentially increased our efficiency. TrueBQuest has transformed our estate administration program and earns our highest recommendation."
Jim Ray, CFRE, International Fellowship of Christians and Jews, Senior Director of Planned Giving
Already Tracking Bequests Elsewhere?

Switching shouldn't cost you your history.

  • We import your closed bequests

Records from spreadsheets, shared drives, or another bequest management platform come with you, closed bequests included, not just open ones.

  • We do the heavy lifting

Our team has the resources to manage the transition for you, so your staff isn't the one re-keying years of records.

  • Nothing lost, nothing frozen

Your team keeps working through the transition, with no dead period where records exist in two places at once.

Your closed bequests don't disappear when you switch. We import your historical records from your current spreadsheet, database, or bequest management system, so day one includes your full history, not just what happens next.
